Every office has a version of the same story. Video calls freeze for one person, always the same person. A desk in the corner drops off the network twice a week. The printer works until someone moves a chair. Everybody blames the internet provider, the provider tests the line and says it is fine, and the problem keeps happening.
A surprising share of the time, the real cause is the cabling. Not the firewall, not the cloud. The physical wires in your walls and the tangle of patch cords in a closet somebody sealed off years ago. Cabling is the least glamorous thing in your building and one of the most common sources of problems nobody can explain.
Why “It Is the Internet” Is Usually Wrong
Think of your building like a water system. The internet connection is the city main at the curb. The cabling is the plumbing inside the walls. If one faucet dribbles and the rest of the house is fine, the main is not your problem.
That is the tell with cabling faults. They are local and stubborn. One desk, one conference room, one wing. If the whole office slows at 2pm daily, look elsewhere. If one back office phone reboots itself and nobody else’s does, that is physical.
Bad cable rarely fails cleanly. A cable bent too tight, run alongside a fluorescent ballast, or terminated by someone in a hurry works most of the time. It passes a quick test. It fails under load, which is exactly when it is hardest to reproduce. Cable Categories, Translated
You will hear numbers like Cat 5e, Cat 6, and Cat 6A. They look like model numbers. They are really grades, like pipe diameter. Bigger grade, more water, less noise.
- Cat 5e is the old workhorse. It handles one gigabit per second fine and is still installed in a lot of buildings. It is not the end of the world. It is just the floor.
- Cat 6 is a step up in shielding and construction. It behaves better in electrically noisy buildings.
- Cat 6A is what you want for 10 gigabit runs. Cisco’s 2022 white paper on cabling for the Catalyst 9000 series states that Cat 6A is “designed to support data transmission up to 10 Gbps at channels up to 100 meters in length,” and says flatly that “Category 5e and Category 6 cables are not designed, specified, or recommended for 10 Gbps of data.”
- Your existing cable is not automatically obsolete. The same Cisco white paper notes that multigigabit technology lets existing Cat 5e and Cat 6 cabling carry speeds beyond one gigabit. You may get more life out of what you have than a salesperson tells you.
One number to remember: distance. Cisco’s published Ethernet cabling specifications list a maximum of 100 meters, about 328 feet, for a twisted pair run. That is the cable plus the patch cords on both ends, not just the part in the wall. Long buildings and detached shops blow past this more often than people expect, and the symptom is not a dead link but a flaky one.
The Weakest Link Rule
This is the part that surprises owners the most. A network connection performs at the level of its worst component. You can run beautiful Cat 6A through the ceiling, spend real money on switches, and then hand the whole thing to a three dollar patch cable somebody found in a drawer.
It is a kinked garden hose bolted to the end of a fire main. The main does not matter anymore. Worse, one bad patch cable in the wrong place limits more than one desk. If the cheap cord connects your switch to your firewall, or one switch to another, everything downstream shares that ceiling. Every person, every phone, every camera. We have walked into offices where a whole floor was quietly capped by a single cord nobody would have looked at twice.
Power over Ethernet raises the stakes, because cable now carries electricity to phones, cameras, and wireless access points. Cisco’s 2022 white paper notes that cable construction affects how well that heat gets carried away, pointing to heavier conductors and foil as factors.
Labels and Documentation Are Not Optional Extras
Here is the contrarian part. If we could only fix one thing about the average small business network, it would not be the cable grade. It would be the labeling.
An unlabeled network means every future problem starts with twenty minutes of detective work. Which jack is that? Where does this cord go? Multiply that by every service call for the next decade. You pay for it either way, just in hourly increments instead of once.
- Label both ends. The wall jack and the patch panel port get the same identifier. This sounds obvious. It is skipped constantly.
- Keep a simple map. A one page document or spreadsheet listing jack numbers and what room they serve. Not a CAD drawing. A list.
- Photograph the closet. Before and after any work. It costs nothing and settles arguments later.
- Write down what is dead. Runs that go nowhere should be marked as such, not left as mysteries for the next person.
This is a time investment that pays back every single time something breaks, which is the same argument we made in why saving time takes priority over saving money.
The Closet Nobody Has Opened in Five Years
Every business has one. A closet, a rack, a shelf above the water heater. Inside is a bird’s nest of cords in six colors, two switches nobody can name, a power strip daisy chained into another one, and a device with a blinking light no living employee can identify.
The nest is not just ugly. Tightly bundled and sharply bent cable degrades performance, and heat builds up because there is no airflow. Pulling one cord to trace it risks unseating three others, so nobody touches anything and the mess compounds. When something finally fails at 4:30 on a Friday, the person fixing it has to solve a puzzle before starting the repair.
When to Just Have It Redone
We do not think every office needs new cabling. Plenty of buildings have perfectly serviceable infrastructure that will outlive the equipment plugged into it. Cisco’s 2022 white paper observes that “people install structured cabling when a building is built and expect it to last for 15 to 20 years,” and that expectation is often reasonable.
Redo it when the evidence stacks up. You keep chasing intermittent faults with no explanation. You are moving into a space and the walls are open anyway. You are adding access points or cameras and the existing runs will not carry the power. Nobody can tell you what half the jacks do. Or troubleshooting labor now costs more per year than doing it right once.
The Bottom Line
Cabling is boring, invisible, and lasts longer than almost anything else you will buy. That combination is exactly why it gets ignored and exactly why it causes problems that look like something else. Before you upgrade your internet plan to fix a slow office, make sure the plumbing inside the walls can carry what you already pay for. You do not have to rip anything out to find out.
