Your day starts before the sun does. By 6:30 there is a superintendent asking about a revised foundation detail, a supplier who needs a delivery window, and a homeowner wanting to know why the framing inspection slipped a week. Somewhere in there you are trying to get a bid out by Friday. Technology is nowhere on that list. It only makes the list when it breaks.

That is the reality for most construction companies we talk to around Denton County. The setup works until the day it does not: the tablet that took a rainstorm, the plan revision that never reached the field, the laptop that walked off a site with three years of estimating history on it. None of these are exotic problems. They repeat, and most cost less to prevent than to fix. Here is how we think about it, in the order it tends to bite people.

Rugged Versus Consumer Devices

The first question we get is whether to buy the expensive rugged tablet or the cheap one from the big box store. The answer depends on who holds it and what it costs you when it dies mid morning.

  • Trucks are a hostile environment. A Texas dashboard in July shortens battery life fast. Concrete dust and toolbox lids do the rest. Anything living in a truck is on a shorter clock.
  • Rugged pays off for daily field use. What matters is a screen readable in direct sun, a touchscreen that works with gloves, and sealed ports. Not the drop rating on the box.
  • Lighter duty does not need it. A project manager moving between offices gets by fine with a mainstream tablet in a heavy case.
  • Standardize on as few models as possible. Two models company wide means one set of chargers and one spare on the shelf. Five models means nobody finds the right cable.
  • Buy accidental damage coverage. Standard warranties cover defects, not a tablet that fell off scaffolding.

Connectivity on a Site With No Infrastructure

A new site has no internet, no power early on, and sometimes no reliable cell signal. Everyone plans for the trailer to get Wi-Fi eventually. The problem is the weeks before that, and the sites where it never happens.

  • Assume cellular, not Wi-Fi. Field devices need their own data. Tethering off a tech’s personal phone means relying on their plan, their battery, and their willingness.
  • One cellular router beats five phone hotspots. A dedicated router with an external antenna covers the crew where individual phones struggle, on one bill.
  • Check coverage before you mobilize. If a site looks marginal on the carrier maps, drive it with a phone first.
  • Carriers are not interchangeable. Coverage in rural parts of the county varies. Splitting the fleet across two carriers saves you on the site where one has a hole.

Plans and Photos That Have to Be Current in Both Places

This is the expensive one. Building off a superseded drawing set is how you demolish work you already paid for. The technical problem underneath is simple: plan files are large, job site connections are slow, and syncing gigabytes over a weak signal does not work.

  • Pick one place documents live. One folder structure, one naming convention, one source of truth. Once plans also live in email and text threads, nobody knows which set is current.
  • Use selective sync on field devices. A tablet should hold two active jobs, not the company archive. This one setting is what makes cloud sync usable on a job site.
  • Pin the current set for offline use before leaving. Mark active drawings on office Wi-Fi and they open instantly at the site, signal or not.
  • Make superseded sets obviously dead. Move them to a labeled archive. Do not rely on a revision number in a filename to stop a framer at 7 a.m.
  • Get photos off the phone automatically. Progress shots and pre pour conditions become evidence in a dispute. If they only exist in a personal camera roll, you do not really have them.

Theft, Loss, and the Cheapest Insurance You Can Buy

Job sites lose equipment. That is not news. What surprises people is that the laptop matters more than the laser level, because of what is on it. The Federal Trade Commission, in its cybersecurity basics guidance for small businesses, advises encrypting sensitive data on laptops, tablets, phones, and removable storage, and not leaving devices unattended in public places.

  • Turn on full disk encryption everywhere. Windows and Mac laptops include it, usually switched off. CISA recommends the same in its Cyber Guidance for Small Businesses. Encrypted means a stolen laptop is a hardware loss, not a data loss.
  • Enable find my device, remote wipe, and a screen lock. Configure all three when the device is issued, not after it disappears.
  • Keep an actual device list. Model, serial, who has it, what is on it. When something goes missing you want those answers in two minutes.

The Office System Holding Every Bid You Ever Made

Almost every construction company we meet has one machine that quietly carries the business. It runs the estimating software and holds the historical bid data, the unit costs, the assemblies refined over fifteen years. It is often the oldest computer in the building, and the only place that data exists.

  • Find out where the data actually sits. Not where the program icon is. If your backup misses that exact path, your estimating history is not backed up.
  • Back up in more than one direction. The FTC recommends backing up files offline, on an external drive, or in the cloud. Do more than one, because hardware death, theft, fire, and ransomware are not the same problem.
  • Test a restore on a calendar. CISA is blunt about this: scheduling backups is not enough, and it is critical to regularly test partial and full restores. A backup nobody has restored from is a theory.
  • Keep a copy the office network cannot reach. If ransomware encrypts everything a compromised PC can see, the drive plugged into that PC goes too.
  • Ask your software vendor the hard question. What would you need to rebuild on a new machine, and how long does it take? Write it down and reconfirm periodically, since capabilities and support terms change.

The Bottom Line

Construction technology does not need to be sophisticated. It needs to be durable and boring. Buy devices suited to where they actually live. Give them their own connectivity instead of hoping for signal. Keep one authoritative set of documents that syncs selectively. Encrypt and track anything that leaves the office. Make sure the estimating data has a tested copy the office network cannot touch.

None of that is a big project. It is a handful of settings, an afternoon of inventory, and a few purchasing decisions made deliberately instead of in a panic. The companies that do it are not more technical than the ones that do not. They just got to it first.
