Your first location was not designed. It grew. Somebody added a printer, somebody else brought in a scanner, the network closet accumulated whatever was on sale that year, and it all works because people have quietly memorized the weird parts. That is normal, and it is fine, right up until you sign a lease on a second building and discover that none of it was written down anywhere.

The second location is your one clean shot at doing it deliberately. Done well, it is boring: doors open, laptops turn on, phones ring, and nobody notices the technology. Done poorly, somebody drives over on opening week with a box of random equipment while the sales team apologizes because the phone numbers did not move. The difference is almost never money. It is sequence, and deciding a few things on purpose before the buying starts.

Start by Deciding What Is Shared and What Is Local

This decision quietly determines your support costs for the next decade, so make it first and make it explicitly. Some things should exist once for the whole company. Others have to exist physically at each address. Confusing the two is how businesses end up with two of everything, which means two of every problem and, within a year or so, two versions of the truth that no longer match.

  • Shared, always. One account per person that works at either site, email, file storage, your main business application, security tooling, and the phone system. A person who transfers between offices should need nothing new.
  • Local, by necessity. The internet circuit, the network equipment and cabling, printers and scanners, door access and cameras, and battery backup for anything you cannot afford to have blink.
  • The word to be suspicious of is “server.” If you are about to duplicate one at the new site, ask why, and ask whether that workload should be shared instead. Duplicated servers are where drift begins.
  • Decide where the data lives before opening day. Retrofitting file locations after two offices have both been saving work for six months is genuinely painful and always takes a weekend.

Order Internet and Phones Before You Order Anything Else

Here is the single most common reason a new office opens without working technology: somebody ordered the internet three weeks out. Business grade circuits are not a same week purchase. If the building already has the right service in place, it may be quick. If it does not, the provider may need to run new cable, which can mean permits, scheduling, a construction charge, and a timeline measured in months rather than weeks.

Order the circuit the day the lease is signed. Before furniture, before paint, before the sign. Then do four unglamorous things: get the install date in writing, ask specifically what happens if that date slips, confirm who is responsible for cabling from the building entry point to your suite, which is usually where the surprise hides, and add a cellular backup connection so opening day still works if the circuit is late. That backup keeps earning its keep afterward as failover.

Phones deserve the same early attention. Adding new numbers is fast. Moving existing numbers to a new provider is a scheduled porting process with paperwork and a date, and it does not happen because you called on Friday and asked nicely. Decide early whether the new site gets new numbers, a shared main line, or its own local number, and confirm how calls route between locations when nobody picks up.

Standardize the Hardware and the Build

If location two runs different laptops, different docks, different monitors, and a different brand of firewall, you have not opened a second office. You have started a second IT department. Every troubleshooting step, every spare part, and every set of instructions now exists in two versions, and the person supporting it has to remember which building they are talking to before they can help.

Pick one business class laptop family, one docking standard, one monitor size, one firewall vendor, and one wireless vendor, then buy those for both sites. You do not need identical models forever, since manufacturers refresh their lineups constantly. You need one standard at a time, documented, with a known replacement path.

The setup process should be standardized too, and modern tools make that easy. Microsoft Learn describes Windows Autopilot as a collection of technologies used to set up and pre-configure new devices, and notes that it uses the version of Windows preinstalled by the manufacturer, so custom images and drivers for every device model do not have to be maintained. Microsoft Learn also states that the only interaction required from the end user is to connect to a network and verify their credentials. In practice, a laptop ships straight to the new site and the person who opens the box signs in and starts working.

Security Parity, Because Attackers Do Not Ask Which Office

New locations become the weak link for an understandable reason. Opening is chaotic, the priority is getting people working, and security gets a mental note that says “we will tighten this up once we settle in.” Six months later nobody has settled in, and the second office is running with local admin rights, an unmanaged access point, and a guest network that is not separated from anything.

The fix is to treat parity as part of the build, not a follow up project. CISA’s Cyber Guidance for Small Businesses recommends multifactor authentication enforced through technical controls rather than trust, prompt patching of known exploited vulnerabilities, backups that are actually tested by restoring them, removing administrator privileges from user laptops, and enabling disk encryption. Microsoft Learn describes BitLocker as a Windows feature that encrypts entire volumes and addresses the threats of data theft or exposure from lost, stolen, or inappropriately decommissioned devices, which matters more at a new site precisely because equipment is moving around. Who Supports the New Site, and What Gets Written Down

Remote support handles the large majority of what goes wrong at a second location, but not all of it. Someone eventually has to reseat a cable, accept a delivery, or stand in the network closet holding a phone. Name that person before you open, tell them what they are responsible for, and make sure they are not surprised by the role. “Whoever is around” is not a support model, and the person who ends up doing it by default usually resents it.

Then write the build down while it is fresh. Not a novel: a working document with the circuit account and support numbers, the network layout and equipment list, the wireless configuration, the printers and how they are shared, the software and license counts, and the checklist you followed in order. Include the mistakes and the things that took longer than expected, because those are the most valuable lines in it.
