Walk through most small offices and you find the same picture. A laptop flat on a desk, screen tilted up, the person in front of it looking down at a small display for eight hours. Maybe there is a second monitor, maybe not. The chair came with the building. Nobody has complained, so nobody has looked.
We want to make an argument that has nothing to do with being nice to your staff. Comfort at a desk is a productivity line item, not a perk, and the equipment that delivers it is some of the cheapest capital you will ever spend. This is not a scare piece about injuries. It is a spreadsheet argument that happens to make people happier too.
The Second Monitor Is the Cheapest Productivity Purchase Most Businesses Make
We will not quote you a productivity percentage from a monitor manufacturer’s marketing study. Here is the version we can defend from watching real people work.
Almost every job in a small business involves reading one thing while typing into another. An invoice into accounting. An email into a form. On one screen, that means constant clicking between windows, and every switch costs seconds plus the mental cost of finding your place again. On two screens, the cycle disappears.
As of 2026, a decent business-class monitor in the 24 to 27 inch range generally lands in the $150 to $300 window, and a monitor lasts years. Display prices move, so confirm current pricing before you budget. Against a fully loaded employee cost, that purchase does not need to save much time to pay for itself. It is the same logic we wrote about in why saving time takes priority over saving money. Cheap equipment that wastes minutes every hour is not cheap.
Monitor Height Is the Free Fix Nobody Makes
Buying the monitor is easy. Placing it correctly is what gets skipped, and it costs nothing. OSHA’s Computer Workstations eTool gives specific guidance here, and it is worth knowing because most desks violate all of it. According to OSHA’s eTool, the screen should sit between 20 and 40 inches from the eye to the front surface of the display, and “the top of the monitor should be at or slightly below eye level.” OSHA also states that “the center of the computer monitor should normally be located 15 to 20 degrees below horizontal eye level,” that monitors “should not be farther than 35 degrees to the left or right,” and that you should tilt the screen “no more than 10 to 20 degrees” so it is perpendicular to your line of sight.
Read that list, then picture a laptop flat on a desk. The screen sits well below eye level, and the person holds their head forward and down all day. A monitor arm, a laptop riser, or in a pinch a stack of paper reams fixes it in ninety seconds. One more note from OSHA that nobody accounts for: if someone wears bifocals, the standard height is wrong for them. OSHA’s guidance for bifocal wearers includes lowering the monitor and considering single-vision lenses made for computer working distances. If someone tips their head back to read the screen, that is what you are looking at.
The Dock: One Cable Turns a Laptop Into a Workstation
Here is the practical problem with laptops. The good setup exists, but reaching it takes plugging in five things, and nobody does that in a hurry between meetings. So the good setup goes unused and the laptop stays flat on the desk.
A dock removes the friction. One cable carries power, both monitors, the keyboard, the mouse, and wired network. Plug in one connector and the workstation appears. A few things to check before you buy:
- Standardize on one dock company-wide. Mixed docks mean mixed drivers, mixed problems, and no ability to swap a desk when one fails.
- Confirm the dock charges the laptop. Some deliver enough power for a light machine but not a heavier one, and the symptom is a laptop that slowly drains while plugged in.
- Check how many displays it drives at the resolution you want. Verify before you commit to a fleet.
- Budget realistically. As of 2026, business docks commonly run $150 to $300 depending on capability. Confirm current pricing, because this category changes fast.
Keyboard, Mouse, and the Chair Underneath It All
Once the screen is at the right height, the keyboard question answers itself. OSHA’s eTool says elbows “should be about the same height as the keyboard and hang comfortably to the side of the body,” and that “your wrists should be straight and in-line with your forearms.” If the desk is too high for that, either lower the desk or raise the chair and add a footrest.
Chairs are where budgets get emotional, so here is the plain version of what OSHA asks for:
- A backrest that follows the spine. OSHA says it should “conform to the natural curvature of your spine, and provide adequate lumbar support,” and recline “at least 15 degrees from the vertical.”
- Seat height set to the feet, not the desk. Per OSHA, the height is right when “the entire sole of the foot can rest on the floor with the back of the knee slightly higher than the seat of the chair.”
- A seat that does not cut into the leg. OSHA calls for a padded seat with a rounded “waterfall” edge supporting most of the thigh “without contact between the back of the user’s knee and the front edge.”
- Armrests that let the shoulders drop. OSHA describes armrests positioned so “shoulders are relaxed during use.”
- A five-legged base with the right casters. OSHA calls for “a strong, five-legged base” and casters suited to the flooring.
Notice what is not on that list: brand names, mesh versus foam, or a four figure price tag. The requirement is adjustability. OSHA’s own summary is that “increased adjustability ensures a better fit for the user,” and it recommends trying chairs before buying.
Why Staff Almost Never Ask
This is the part owners miss. People do not ask for a second monitor. They do not ask for a chair. Asking feels like asking for a favor, and nobody wants to be the person who complained about furniture.
So they adapt. They stack books under the laptop. They work with a sore neck and mention it to a spouse instead of a manager. When they leave, the exit interview says something about growth opportunities, because “my desk hurt” is not a thing people say out loud. The fix is to stop waiting for requests. Build a standard desk kit and issue it to everyone: two monitors, a dock, an adjustable chair, a separate keyboard and mouse. Then walk the floor once a year and look at heights and angles.
The Bottom Line
Compare the spend against what the alternative costs. Replacing one employee means recruiting, interviewing, onboarding, and months of reduced output. A workers compensation claim tied to repetitive strain means paperwork, premium consequences, and a person running below full capacity. We will not tell you a monitor arm prevents either of those on its own, because that is not a claim we can back up. What we will say is that a full desk setup for one person is a small, one time number that lasts for years, and the things it helps avoid are not small. Treat it as equipment, not a favor.
