Owners usually ask us which is better, laptops or desktops. It is the wrong question, and we say that gently, because it is the obvious question. Better at what, for whom, doing which job? A dispatcher who sits at one desk for nine hours has almost nothing in common with an estimator who spends three days a week at job sites, and buying them the same machine to keep the invoice tidy costs money somewhere else.
The right question is who gets which, and the honest answer is that most businesses should have both. The tradeoff is also much softer than it used to be, because a good docking setup lets one laptop behave like a full desktop the moment it lands on a desk. Here is how we sort it, including the cost math almost everyone gets wrong.
Where the Desktop Still Wins
Desktops are not obsolete, and anyone telling you otherwise is probably selling laptops. For a fixed workstation, a tower is frequently the better business decision.
- More performance for the money. Desktop components are physically larger, run cooler, and are not engineered around battery life, so a tower generally does more work per dollar than a portable machine at a similar price. If someone runs heavy design, engineering, video, or large data files, this gap is real and noticeable.
- Cheaper and easier to repair. In our experience, a failed part in a tower is usually a screwdriver and a replacement component. The same failure in a thin laptop often means a mainboard swap or a full replacement, because the parts are soldered down and the labor is specialized.
- Upgradable, at least for a while. Adding memory or storage to a desktop is routine, which can buy you an extra year or two on the same machine. Many modern laptops cannot be upgraded at all after purchase, so the configuration you buy is the configuration you keep.
- Harder to lose. Nobody leaves a tower in an airport or a truck bed. That sounds trivial. It is not, and we come back to it below.
The classic desktop candidates are reception, accounting, dispatch, shared production stations, and anyone working with large files at a fixed location.
Where the Laptop Wins
The case for laptops is simpler and it is mostly about people, not specifications. If a person’s work happens in more than one place, they should have a machine that goes with them.
- Anyone who moves. Sales, field service, leadership, project managers, anyone who presents to customers, and anyone who regularly works from a second location.
- Hybrid schedules. If someone works from home even one day a week, a laptop removes an entire category of problems. Two half configured machines with files in both places is worse than one machine that travels.
- Grab and go during a disruption. This is the underrated one. Power outage, water leak, road closure, or a storm that makes the drive a bad idea. A team with laptops relocates and keeps working. A team with towers waits.
When you buy, skip the consumer lines and buy from a manufacturer’s business series. What you are paying for is a longer support commitment, better parts availability, a next business day onsite warranty option, and a model family that does not change every few months. Step up from the base memory and storage too, because the entry level configuration is the one that feels slow in year two.
The Docking Setup That Gives You Both
This is the arrangement we recommend most often, and it resolves most of the argument. The person gets a laptop. At their desk sits a dock, two monitors, a real keyboard, and a mouse. They arrive, connect one cable, and they are working at a full workstation. They leave, disconnect one cable, and the workstation goes with them.
Dell’s support documentation describes docking stations as a way to connect your laptop to everything on your desk, including monitors, keyboard, mouse, speakers, and network cable, all through a single cable, and notes that Thunderbolt docks can drive multiple high resolution monitors, move data quickly, and charge the laptop over that same cable. Dell also documents universal docks that work with virtually any laptop from any brand.
One warning, and it is the most common dock mistake we see. Dell’s guidance states plainly that different docks work with different ports, and using the wrong dock with the wrong port means it will not work. Docks are not interchangeable just because the connector looks the same. Standardize on one dock model, buy it alongside the laptops, and confirm compatibility before purchase rather than after the box arrives.
The Cost Comparison People Get Wrong
The usual comparison is laptop price against desktop price, and it is misleading, because those two numbers do not buy the same thing. A desktop tower needs a monitor, keyboard, and mouse before anyone can use it. A docked laptop needs a dock and monitors before it feels like a desk. Compare complete workstations or you are comparing nothing.
As a rough 2026 planning range, worth confirming with your supplier since this moves constantly, we generally budget somewhere around $900 to $1,600 for a business class laptop, around $700 to $1,300 for a comparable business desktop, roughly $150 to $350 for a dock depending on type, and roughly $300 to $700 for a pair of business monitors. Run those through your own seat count before deciding anything.
Then add the costs that never appear on a quote. Support time for two hardware standards instead of one. The productivity lost when a fixed machine fails and its user has nowhere to go. We have argued before that saving time usually beats saving money, and hardware decisions are where that shows up fastest. A tower that saves a few hundred dollars and strands somebody for two days did not save anything.
The Security Difference: A Laptop Can Walk Out the Door
Portability cuts both ways. A machine that goes home, to a customer site, or to a coffee shop is a machine that can be stolen, left behind, or lost, and it usually has company data on it. This is not a reason to avoid laptops. It is a reason to configure them properly, which takes almost no effort if you do it at purchase.
Encryption is the core control. Microsoft Learn describes BitLocker as a Windows security feature providing encryption for entire volumes, addressing the threats of data theft or exposure from lost, stolen, or inappropriately decommissioned devices, and notes it provides maximum protection when used with a Trusted Platform Module. Apple states that with FileVault, internal volumes remain encrypted and protected from unauthorized access without valid login credentials or a recovery key, even if the storage device is removed and connected to another computer.
CISA’s Cyber Guidance for Small Businesses also recommends enabling disk encryption and removing administrator privileges from user laptops. Add remote wipe through your device management tool, require multifactor authentication at sign in, and give people a blame free way to report a missing machine within minutes. If the reporting process is embarrassing, people delay, and delay is the expensive part. This is the practical end of the broader security conversation.
The Bottom Line
Match the machine to the job, not to a company wide rule. Fixed seats and heavy workloads get desktops, with more performance and cheaper repairs for the money. Anyone who moves gets a laptop with a dock, two monitors, and encryption on from day one. Compare full workstation costs rather than headline prices, standardize on one laptop family and one dock, and treat every portable machine as something that will eventually be lost.
